Building a reconciliation trail lenders can defend
Lending products live and die on whether ledger balances match bank movements and servicing files. Auditors for fintech lenders spend early days asking how breaks are found, who clears them, and how long they linger.
Daily versus monthly rhythm
Daily cash and disbursement checks catch operational noise. Monthly portfolio reconciliations catch structural drift. Treat them as different controls with different owners — collapsing both into one spreadsheet owned by “finance” usually fails sample testing.
What to keep for the audit file
Retain the source extracts, the matching worksheet, the list of unresolved items, and the sign-off. If a break was accepted as timing, write the reason in plain language. Silent acceptance looks like ignored risk when sampled months later.
Timing that helps fieldwork
If you know an audit window is coming, avoid changing reconciliation templates mid-sample period. Auditors will ask why week three looks unlike week one. Announce template changes with a dated note in the control file instead.
